Getting stuff done

Putting a Zoom link on every booking

Connect your Zoom account to a Cook booking page so every booking gets its own Zoom meeting, and remove it again.

A Cook booking page can give every booking its own Zoom meeting. When someone books, Cook creates the meeting on your Zoom account and puts its join link in the calendar invitation, on the confirmation screen and in the reminder emails. If the booking moves, the meeting moves with it. If the booking is cancelled, the meeting is deleted.

Before you start

  • The booking page needs a connected booking calendar (Google or Microsoft). The page’s editor shows Connect a booking calendar until it has one.
  • You need a Zoom account. The meetings are created on it, so you are their host.
  • You need permission to manage integrations in the Cook workspace.
  • On a live booking page, the page also needs a selected calendar and a host, and Seats per time must be 1. A group call cannot use Zoom.

Adding Zoom

  1. In Cook, open Growth, then Scheduling, and open the booking page.
  2. Under Location, choose Zoom.
  3. Press Connect Zoom. Zoom asks you to sign in, then shows Cook would like permission to. Press Allow.
  4. You come back to the same page, and it reads Zoom connected as followed by your Zoom email address.
  5. Press Save.

Every booking made from then on gets a Zoom meeting.

What Cook can do in your Zoom account

Zoom lists these permissions on its screen when you press Connect Zoom:

  • Create a meeting for a user: a meeting for each new booking.
  • Update a meeting: move the meeting when a booking moves.
  • Delete a meeting: remove the meeting when a booking is cancelled.
  • View a user: read your Zoom name and email address, so the booking page can show which Zoom account is connected.

Cook does not read your recordings, chats, contacts or other meetings through this connection. It keeps your Zoom email address and a connection reference. The Zoom sign-in itself is held by Nylas, the calendar service Cook’s booking pages use.

Using it

Nothing changes for the person booking. They pick a time as before, and the confirmation screen shows a Join link. The same link is in the calendar invitation and in the reminders. A booking moved through the guest’s own Manage your booking link moves the Zoom meeting too.

If Zoom stops working

If Zoom rejects Cook’s access (for example after you change your Zoom password or remove the app in Zoom), the booking page’s editor shows Zoom stopped working. Press Reconnect Zoom and allow Cook again, or choose another location.

Removing Zoom

From Cook: open a booking page whose Location is Zoom and press Disconnect Zoom next to Reconnect Zoom. The button only shows while the location is Zoom. If any live booking page still uses Zoom, Cook names those pages first: change their location and save them. If no page uses Zoom any more, choose Zoom under Location on one page without saving, press Disconnect Zoom, then set the location back.

From Zoom: sign in to Zoom and open your installed apps, find Cook and press Remove. Zoom notifies Cook, and Cook deletes the connection it kept for that Zoom account.

Move every live booking page off Zoom before you remove it from Zoom’s side. A live page still set to Zoom refuses new bookings once the connection is gone. Meetings already created for bookings stay in your Zoom account until you delete them there.
